The Job: Resident Hostel Supervisors
Education Qualification: Bachelor’s degree: The candidate should have a Bachelor’s degree in any field from a recognized university or institute. A degree in Hospitality Management, Hotel Management, or a related field may be preferred.
Experience: 

Minimum 4-6 years Relevant experience: The candidate should have relevant experience in managing hostels or residential facilities, preferably in an educational institution or similar environment.

Supervisory experience: Experience in supervising or managing staff, overseeing operations, and ensuring compliance with policies and regulations related to hostels or residential facilities.

Customer service experience: Experience in providing customer service, addressing student needs and concerns, and maintaining a positive and inclusive living environment in a hostel or residential facility.

 

Skillsets:

Hostel management: Strong knowledge of hostel management principles, practices, and regulations, including student admissions, room allotment, facility maintenance, security, and other related functions.

Student engagement: Ability to engage with students, understand their needs, and provide support in a residential setting, including managing student activities, programs, and events.

Communication skills: Excellent communication skills, both written and verbal, to effectively communicate with students, staff, faculty, and other stakeholders regarding hostel-related matters.

Conflict resolution: Ability to handle and resolve conflicts, complaints, or disciplinary issues in a fair and effective manner, while maintaining a positive and inclusive living environment for students.

Team management: Leadership and interpersonal skills to effectively manage hostel staff, coordinate with other departments, and work with students from diverse backgrounds.

Health and safety: Knowledge of health and safety regulations and practices related to hostels or residential facilities, and ensuring compliance with relevant guidelines and protocols.

Problem-solving skills: Ability to identify and address operational or logistical issues related to hostel management, and develop solutions to ensure smooth and efficient operations.

Roles and Responsibilities:
  • The Resident Hostel Supervisor shall obtain approval from the Chief Warden / Deputy Warden for allocating rooms to students and issuing furniture/electrical items for placement/installation in the rooms.
  • All applications from students regarding hostel matters shall be forwarded to the Warden.
  • Coordinate with the Electrical maintenance section, building section, and sanitary department to ensure proper maintenance of hostel rooms, common rooms, toilets, mess, and premises. Maintain records and recover hostel dues.
  • Ensure proper water supply and drinking water arrangements in the hostel.
  • Maintain the Hostel stock register.
  • Report to the Warden regarding students who violate mess rules and default on clearing mess dues.
  • Keep a record of students’ leave (monitor the In and Out register).
  • Supervise the work of hostel support staff and security guards.
  • Maintain attendance registers.
  • Arrange for students to visit the library during night hours.
  • Regularly visit students’ rooms to address their day-to-day problems.
  • Provide advice and guidance for the smooth operation of the mess, including displaying the weekly menu and maintaining food quality.
  • Take appropriate action on complaints recorded in the complaint register.
  • Maintain a leave register for workers and forward their leave applications to the honorary warden.
  • Arrange for medical assistance, including doctor/ambulance, for students in case of medical emergencies.
  • Arrange transportation for students to the airport/railway station during late-night hours.
  • Provide daily reports to the Warden regarding maintenance of civil and electrical works, student discipline, guest/visitor records, and any other noteworthy information. Consolidated reports should be emailed to the Chief Warden / Deputy Warden on a daily basis.
